Confidentiality Policy
Respect for and protection of your privacy by Dentalemployment.caTM.
We are aware of the concerns raised by the issue of personal information circulating on the Internet, and we wish to collaborate with you to ensure that your privacy is respected and protected. In that spirit, we would like to explain which types of information are collected when you visit our website, as well as when, how and why that information is collected. Please carefully read the text below and refer to it periodically to keep up with any changes that may be made. Rest assured that we do not collect any personal information concerning you without informing you.
Collection and processing of personnal information
When?
Under certain very specific circumstances, namely when you register for one of our personalization, email or online advertising contest services, we ask you to provide your name, address, email address and other personal information using an online form. Every time we ask you for such information, we provide you with prior explicit notification of such. We also inform you that this information will be subject to processing, that is, a set of operations that may involve collecting, saving, building, modifying, storing and deleting this personal information. Wherever possible, we provide you with the means to verify that your personal information is accurate and up to date. In addition, we occasionally ask you, via the use of forms, whether you wish to receive information on other services, contests, or news about Dentalemployment.caTM or its partners. You can always choose to decline those offers or to unsubscribe from a personalized service to which you had previously chosen to subscribe.
Why?
Collecting personal information simply allows us to provide you with services that better meet your needs, to contact you should you ever win a prize and, if you have indicated your wish for us to do so, occasionally send you information by email.
For whom?
It is important to specify here to whom your information is disclosed. Clinics see the information in your application that the site shows them for recruitment. Our service providers (hosting, email delivery, payment, customer management, chat and the DentIA assistant) process it on our behalf, and some of them are located outside Quebec. If you have accepted advertising cookies, some information is also disclosed to Google, Meta, LinkedIn and a call tracking service, as explained in the section “Cookies and trackers used by Dentalemployment.ca”. Should you be asked to provide information for another reason, you will be expressly notified at the time this information is requested from you.
Apart from these cases, no personal information is disclosed to persons outside of Dentalemployment.caTM without your consent, except as provided by law. In addition, please note that any and all personal information we collect is saved in sections of the website that are not accessible to the public.
Despite the above, you may at any time request that we not use or stop using your personal information.
The only situations in which we may disclose personal information concerning you are the following: a request by a legal authority or in good faith in consideration that this action is required, (a) to comply with any laws or regulations in effect, or to intervene in a proceeding initiated against Dentalemployment.caTM; (b) to protect or defend the property or rights of Dentalemployment.caTM or of its users; and (c) to intervene, under extreme circumstances, for the purpose of protecting the personal safety of Dentalemployment.caTM users or the general public.
Country of residence and work authorization
When you sign up, we ask you two questions: do you live in Canada (and if not, in which country)? Are you legally authorized to work in Canada? We do not ask for your citizenship or your country of origin.
Both answers are required to create a candidate account, because an employer needs to k whether you can be hired in Canada. They are shown to the employers you apply to. You can change or withdraw them at any time in your account, under "Your situation". We keep them for as long as your account exists.
If you answer that you are not authorized to work in Canada, you will not receive our job alerts. You can apply to job offers from all clinics, except those that state they only accept people authorized to work in Canada. For those clinics, our site automatically refuses your application, without human intervention: a message tells you so on their job offers, and your application is not sent to them. This refusal is based only on your answer to the work authorization question and on the clinic's choice. If your situation changes, it under "Your situation". You can also submit your comments to a member of our team, who can review the decision, by writing to aide@emploidentaire.com.
An optional box, never pre-checked, also lets you agree to be informed if we ever offer support for newcomers to Canada. We will only write to you about this if you checked it, and you can withdraw your consent at any time.
Your phone number is also required to create a candidate account. It is used to reach you about your applications: it is shown to the clinics you apply to, and the Emploi Dentaire team can see it in your file. If you live outside Canada, please include your country code. For accounts created on or after October 2, 2026, it is not used to estimate where you live: only your answer to the country-of-residence question counts.
For accounts created before October 2, 2026, we may have estimated, from your phone number, your postal code, your city or your address, that you lived outside Canada. This estimate is used for two things only: measuring the share of our candidates who live abroad, and identifying, in our administration tool, the accounts whose situation has yet to be confirmed. It is never shown to employers and is never used to exclude you from a job offer or a mailing. It is replaced as soon as you state your situation, and erased by March 31, 2027 at the latest.
How you heard about us
When you create an account and, for a clinic, after its first purchase, we ask how you heard about Dentalemployment.ca, with a list of answers to choose from. Answering is optional. Your answer is stored with your account and used only for our internal statistics: to know where our members and clients come from, and to assess how well our advertising works, including by comparing it with the origin of your visit described below. It is not shared with any third party: not with Google, Meta or LinkedIn, nor with our customer-management tool. We keep it for up to 24 months, and we delete it if you delete your account. To see it, correct it or have it deleted, write to the person in charge of the protection of personal information (section below).
Be vigilant!
Our website contains links towards other websites managed by third parties. Those links are only provided for your convenience. Clicking on those links takes you out of our website. Please note that we exercise no control over third party websites, and providing links to those sites on our website does not imply any responsibility on our part. Thus, any personal information you provide to other websites will necessarily be subject to the protection of personal information polices of those other websites. Dentalemployment.caTM cannot be held responsible for any abuse that may result from using those websites. We therefore recommend that you carefully examine the protection of personal information policies of those websites.
In addition, please keep in mind that the voluntary disclosure of personal information on third-party sites or services (chat, email, electronic bulletin board) is not covered by this confidentiality policy (our own chat service is described in the section “Cookies and trackers used by Dentalemployment.ca”); you must always remain vigilant when you provide personal information through these means. You transmit this information at your own risk. The information can be collected and used by third parties without any prior consent whatsoever on your part. In short, when you enter personal information online and this information is accessible to the public, you run the risk of eventually receiving unsolicited messages from third parties. Dentalemployment.caTM shall not be held liable in this regard. We advise you to remain prudent and attentive at all times when you are using the Internet.
Security
We have implemented security measures to protect you against the loss or unauthorized use of information concerning you that is under our control. In addition, our servers use firewall protection technology. However, no safety mechanisms are perfect, and please remember that there is always a risk that personal information you provide to us may be disclosed through no fault of ours and without your consent. We deny any responsibility with regard to the fact that such confidential information concerning you may be disclosed, except in the event of negligence on our part.
Child and adolescent safety on the Internet
The number of children and adolescents who use the Internet is constantly increasing, and this provides them with many benefits. However, as with any other environment, they may become the target of crime or exploitation since they are more vulnerable. We therefore advise you to monitor how your children and adolescents use your Internet service and to provide them with safety advice and recommendations as well as common sense tips. Such measures can often prevent your children and adolescents from being exposed to offensive material, or from becoming the victims of harassment or other criminal acts.
In order to reduce the risk that your children and adolescents be exposed to such situations, exercise reasonable supervision of their use of your Internet service. Your children and adolescents must be aware that they must never disclose personal information such as their name, telephone number or address on forums.
It is important that your children and adolescents be encouraged to share with you any concerns or worries if they receive any shocking or inappropriate messages, or any other content that makes them uncomfortable.
These recommendations will help your children and adolescents use the Internet in an informed manner and ensure that they will take full advantage of all of the benefits the Internet has to offer to enhance their development.
Cookies
Cookies are elements of information sent to you by a website you are visiting. They are stored temporarily or permanently on your hard drive to keep track of your visit. The stored information may concern, in particular, the time and date of your visit, a response to a questionnaire filled out on the website, personal information collected by the server, etc. Thus, cookies may increase the Internet’s usefulness by saving information concerning your preferences for a given website.
The use of cookies has become widespread in the world of computers. Most Web browsers accept them by default. If you wish, you can always change your settings to refuse cookies. Doing so, however, may prevent you from benefiting from all of the features a website has to offer.
Cookies, in and of themselves, are harmless. You can consult them and delete them if you wish, since they are stored on your hard drive. You have complete control.
Cookies and trackers used by Dentalemployment.ca
Your choice. On your first visit, a banner asks for your choice. Advertising cookies are declined by default: until you click “Accept”, none of them is set and no advertising tag is loaded. Declining does not affect your access to the site.
Essential cookies. Always active, without a choice, because the site needs them to work: your account login session and the cookie that remembers your cookie choice (180 days).
Origin of your visit. Two cookies from our site keep, for 90 days, the origin of your visit (for example a campaign name or the site that referred you), without your name or email address. If you are a clinic signed in to its account, or creating one, this origin is recorded with your account, for our internal statistics only. These cookies contain an advertising click identifier only if you have accepted advertising cookies (see “Measuring our advertising”).
Advertising cookies. Only if you accept them: Google (Google Ads, Google Analytics and Google Tag Manager), Meta (Facebook and Instagram), LinkedIn and a phone call tracking service. These companies set cookies to measure site and ad audiences and to show you targeted advertising; most of them are located outside Quebec, notably in the United States. Your choice stays valid for 180 days; we then ask again.
Measuring our advertising. When you arrive on our site by clicking one of our Google or Meta ads, the page address contains a click identifier assigned by that platform. If you have accepted advertising cookies and you are a clinic signed in to its account, or creating one, we keep this identifier for at most 120 days, with the campaign name, without your name or email address. When a purchase of credits or a plan follows that click, we may send Google or Meta the click identifier, the date and the amount of the purchase and, for Meta, a transaction number, to measure the cost of our campaigns. These companies are located outside Quebec, notably in the United States, and may also use this information under their own terms, for example to deliver and improve their ads. No information about candidates is sent for these purposes.
Chat. The chat service (Zoho SalesIQ) is loaded only when you click the chat bubble. Zoho then stores an identifier in your browser that lets it find your conversation if you reopen the chat, receives the address of the page where you open it and keeps your messages. It is not reloaded on the following pages. This identifier is deleted on your first visit to the site after 30 days without chatting, or as soon as you use the “Manage cookies” link; if the chat is reopened on the same page, Zoho may store it again. If you are signed in to your account, we send Zoho a token that lets our DentIA assistant recognize you. DentIA's answers are produced by an artificial intelligence provided by Anthropic, which receives the content of the conversation. Zoho and Anthropic are located outside Quebec, notably in the United States.
Record of your choice. To be able to demonstrate your choice, each click on the banner records a random identifier specific to your browser, the version of the text shown, your choice and the date. This record contains neither your name, nor your email address, nor your IP address, and it is kept for 24 months.
Changing your mind. You can change your mind at any time with the “Manage cookies” link at the bottom of the site's pages. Withdrawing deletes the advertising cookies set on our site, stops advertising tags from loading for the rest of your visit and prevents any future sending of click identifiers already kept. Cookies that Google, Meta or LinkedIn set on their own sites can only be removed in your browser settings.
To object to this processing or for any question, write to the Personal Information Protection Officer (section below).
Server log and traffic statistics. Like any website, our server automatically records, for each page requested, the IP address, date and time, page requested, referring page and browser type. This log is used for security and to keep the site running. Once a day, we also derive aggregated traffic statistics from it (page views and visitors per day, by site section and by source), without cookies and without storing anything on your device. These statistics contain no IP address and no information about you individually. The log is not shared with anyone other than our hosting provider.
Notifications on your device. This feature is off by default. It is only offered if you have chosen to receive new job offers. If you turn it on in your account ("Get new jobs on this device"), we send a notification to this device when a job matching your occupation and the distance you chose is posted, at most three a day and never between 9 p.m. and 8 a.m. (Eastern Time). To do this, your browser gives us a delivery address and encryption keys specific to this browser on this device; the address is assigned by the notification service of the browser's maker (Google, Apple, Mozilla or Microsoft), located outside Québec. We keep them with your account, your language and the type of device (Android phone, iPhone, computer or other), never the details of your device or browser. We also keep a record of each activation and each stop (date, language, type of device, version of the text shown) to demonstrate your consent, for 24 months after your last subscription ends.
The content of notifications (the job, the city and the link to the posting) contains no information about you and is encrypted: the maker's service delivers it without being able to read it, but it knows that a message from Emploi Dentaire was sent to this device, and when. The notification appears on your screen, including the lock screen depending on your settings, and keeps arriving after you sign out: on a shared device, turn it off before signing out.
You can stop notifications at any time from your account ("Turn off notifications on this device"), and the address and keys are then deleted. If you block them in your browser, we delete the address as soon as the service tells us it is no longer valid. If you delete your account, your addresses are deleted. If you unsubscribe from our communications, we no longer send you any notifications; the address stays on file until you turn notifications off on the device. An address not used for any notification in 12 months is deleted; you can simply turn notifications back on. To access or correct this information, or for any question, write to the person in charge of the protection of personal information named on this page.
We hope this section has clarified the strict confidentiality policy in effect at Dentalemployment.caTM. We reserve the right to modify the confidentiality policy presented above at any time. We therefore invite you to visit this page periodically to see whether any changes have been made.
